Organizing Media by Room and Area

Area tags are how Estimatics knows where each photo and video was taken. Organized media produces better AI findings, faster scopes, and cleaner reports.

Organizing Media by Room and Area

Every photo and video in Estimatics is tagged to a room or area — a label that tells the platform and the AI exactly where that media was captured on the property. Well-organized media leads to better AI damage findings, more accurate scopes, and reports that are easier for carriers and clients to navigate.

Why area tags matter

When the AI analyzes your photos, it uses area context to group findings by location on the property. A finding tagged "Roof — Main" is treated differently from one tagged "Interior — Master Bedroom" — even if both show water damage.

Area organization also affects:

  • Scope accuracy — line items in your estimate are organized by area, so mistagged photos can produce misplaced scope items
  • Report readability — damage reports are structured by area, matching how adjusters and carriers expect to review documentation
  • Team navigation — when multiple inspectors work the same job, area tags prevent confusion about where each photo was taken

Creating custom areas

If the default areas don't match the property, you can add custom areas:

On iOS (during capture):

  1. Tap the area selector at the top of the camera
  2. Scroll to the bottom and tap + Add Area
  3. Type the area name (e.g., "Pool Deck," "Unit 4B," "Building C Roof")
  4. Tap Save — the new area is immediately available

On the web dashboard:

  1. Open the job and go to the Capture tab
  2. Click Manage Areas
  3. Click + Add Area and enter the name
  4. Click Save

Custom areas sync between web and iOS immediately.

Tip for commercial properties: Create areas by building section or unit number before your inspection starts — "Building A," "Building B," "Unit 101," etc. This prevents a disorganized pile of untagged media when you have 200+ photos.

Reassigning photos to a different area

Made a mistake or forgot to switch areas? You can reassign any photo or video after the fact.

Reassign a single item:

  1. Open the photo or video in the Capture gallery
  2. Tap Edit (web) or long-press (iOS)
  3. Select Change Area
  4. Choose the correct area

Reassign multiple items at once (web only):

  1. In the Capture tab, click Select
  2. Check the boxes on the items you want to reassign
  3. Click Change Area in the toolbar
  4. Select the destination area

Filtering and navigating by area

On the web dashboard:

  • The Capture tab shows an area filter bar at the top of the media grid
  • Click any area name to filter the view to that area only
  • Click All to return to the full gallery

On iOS:

  • Tap the area dropdown above the media grid to filter by area
  • Swipe between areas using the area pills

Use filters when reviewing your inspection before leaving the property — it's the fastest way to verify you have complete coverage for each area.

Checking for untagged media

Media without an area tag is grouped under Unassigned in the Capture tab. You should have zero unassigned items before you finalize an inspection.

To find and tag unassigned media:

  1. In the Capture tab, click or tap the Unassigned filter
  2. Review each item and assign it to the correct area
  3. Repeat until Unassigned is empty

Frequently asked questions

Can I rename an area after photos have been tagged to it? Yes. Renaming an area updates the tag on all media assigned to it. Go to Capture → Manage Areas, click the area name, and edit it.

Can I delete an area? Yes, if it has no media assigned to it. Areas with tagged media cannot be deleted — reassign the media first, then delete the empty area.

Can I reorder areas? Yes. In Manage Areas on the web, drag areas up or down to change their display order. The order you set here is used in the report.

Is there a limit to how many custom areas I can create? No. Create as many as the property requires.

Do area tags affect the AI analysis? Yes. The AI uses area context to improve finding accuracy. Photos tagged to "Roof — Main" are processed with roof-specific damage models. Untagged or miscategorized photos may produce less accurate findings.
