Generating Damage Reports

The damage report is the final deliverable of your inspection workflow. It brings together your field photos, AI-generated findings, property details, and insurance information into a single, professional document that you can hand to a carrier, a public adjuster, or a property owner. A well-built report turns hours of fieldwork into a defensible, organized presentation.

What a damage report includes

A complete damage report contains:

  • Property Details — address, property type, year built, and roof age.
  • Insurance Information — claim number, policy number, carrier, deductible, and coverage limits.
  • Damage Summary — the type and cause of damage, date of loss, and a written description of what occurred.
  • AI Findings — each finding identified by the AI analysis, including damage type, severity, affected area, and the supporting photo or photos.
  • Inspection Photos — all captured media organized by area, with annotations and timestamps.
  • Coverage Context — when policy data is available, the report notes which findings fall within coverage and flags any relevant exclusions or limits.

How to generate a report

To generate a damage report:

  1. Open the job from your Jobs list.
  2. Navigate to the Reports section of the job detail view.
  3. Select Generate Report.

The system queues the report for generation. Because reports are assembled asynchronously, you do not need to wait on the page. Continue working on other jobs and return when the report is ready.

A status indicator shows the current state:

  • Queued — the report is waiting to be processed.
  • Generating — the system is assembling the document.
  • Ready — the report is complete and available for download.

Report types by plan

The reports available to you depend on your Estimatics plan:

  • Trial — reports can be generated and previewed, but downloading is not available. This lets you see what the output looks like before committing to a paid plan.
  • SCOPE — full damage reports with all standard sections. Download as PDF is included.
  • SCOPE+ — everything in SCOPE, plus custom branding options and additional report templates for specialized use cases.

Custom branding (SCOPE+ plans)

On SCOPE+ plans, your reports carry your company's identity. You can configure:

  • Company Logo — appears on the report cover page and header.
  • Brand Colors — accent colors used throughout the report for headings, dividers, and highlights.

Branding settings are configured once in your workspace settings and apply to every report generated by your team.

Download as PDF

When a report's status shows Ready, select Download to save it as a PDF file. The PDF is formatted for printing and digital sharing — clean typography, properly sized images, and a professional layout that presents your work credibly.

Every generated report also receives a unique shareable link. You can copy this link and send it to anyone who needs to view the report without downloading a file. The link opens a web-based view of the full report. This is useful when emailing adjusters or clients who prefer to review documents in their browser.

Tips for better reports

  • Run AI analysis first. The damage report pulls its findings from the AI analysis step. If you generate a report before running analysis, the findings section will be empty. Complete your analysis, review the findings, and then generate the report.
  • Complete your job details. Reports that include full insurance information, coverage limits, and a detailed damage description are significantly more useful than reports with missing fields.
  • Upload the policy PDF. When policy extraction data is available, the report can include coverage context alongside each finding — showing whether the damage falls within the policy's covered perils and limits.
  • Review before sharing. After downloading, take a moment to review the report. Verify that photos are correctly associated with findings and that the property details are accurate. A polished report builds trust with carriers and clients.
