User Roles Explained

Estimatics has five roles — Super Admin, Admin, Field Inspector, Adjuster, and Contractor. Here's exactly what each role can see and do, and how to decide which one to assign.

User Roles Explained

Every Estimatics team member has exactly one role. Roles control what a person can see, create, edit, and delete across your organization. Assigning the right role from the start prevents both accidental changes and access gaps.


The five roles

Super Admin

Who it's for: The account owner, principal, or whoever is ultimately responsible for the Estimatics account.

There is typically one Super Admin per organization. The Super Admin has unrestricted access to everything — all jobs, all settings, billing, team management, and organization configuration.

Unique to Super Admin:

  • Access to billing and subscription management
  • Ability to delete the organization
  • Can assign or revoke Super Admin status for others

Admin

Who it's for: Office managers, senior project managers, team leads — anyone who needs to manage the team and oversee all jobs but isn't the account owner.

Admins can do nearly everything Super Admins can, with the exception of billing management and organization deletion.

Admin can:

  • Create, edit, assign, and close all jobs
  • Invite, deactivate, and manage team members
  • Change team member roles (except Super Admin)
  • Access and edit Organization Settings (excluding billing)
  • View all reports and evidence packages

Field Inspector

Who it's for: On-site inspectors and field technicians whose primary job is to capture documentation at the property.

Field Inspectors have focused access — they can work jobs assigned to them and capture media, but can't modify organization settings or access jobs they're not assigned to.

Field Inspector can:

  • View and work jobs assigned to them
  • Capture photos and video via the iOS app
  • Add notes and markups to assigned jobs
  • Update job status on assigned jobs
  • View their own profile

Field Inspector cannot:

  • Create new jobs
  • View jobs assigned to other team members (by default)
  • Access Organization Settings
  • Invite or manage team members
  • View billing information

Adjuster

Who it's for: Public adjusters, staff adjusters, and claims reviewers who need to review inspection evidence and documentation but aren't in the field capturing.

Adjusters have broad read access and can create and manage jobs, but they don't capture media directly.

Adjuster can:

  • Create and manage jobs
  • View all jobs in the organization (by default)
  • Add notes and markups
  • Review AI findings and evidence
  • Generate and share reports (SCOPE and CERTIFY plans)
  • Assign jobs to field inspectors

Adjuster cannot:

  • Access Organization Settings
  • Manage team members
  • Access billing

Contractor

Who it's for: Restoration contractors, subcontractors, and trades who need to access job documentation for scope and estimation purposes.

Contractors have the most limited access — they see what they need for their scope work and nothing more.

Contractor can:

  • View jobs they're assigned to or granted access to
  • View photos, videos, and AI findings on those jobs
  • Add notes on assigned jobs
  • View and download scope and estimate documents

Contractor cannot:

  • Create new jobs
  • Capture media
  • Manage team members or settings
  • View jobs they're not explicitly assigned to
  • Access billing

How to decide which role to assign

Start with the question: does this person work in the field, in the office, or both?

  • Field only → Field Inspector
  • Office / review only → Adjuster
  • Field + office → Adjuster (they can do both)
  • Manages the team → Admin
  • Owns the account → Super Admin
  • External partner with limited access → Contractor

When in doubt, assign the more restrictive role. It's easier to upgrade a role than to explain why someone had access they shouldn't have.


Changing a role

Roles can be changed at any time by a Super Admin or Admin:

  1. Go to Team → Team Members
  2. Click the team member's name
  3. Click Edit Role
  4. Select the new role
  5. Click Save

The change takes effect immediately.


Frequently asked questions

Can I create a custom role with specific permissions? Not currently. The five preset roles cover the most common needs. Custom roles with granular permission settings are on the roadmap.

Can I restrict a Field Inspector to only specific jobs? By default, Field Inspectors only see jobs assigned to them — they can't browse the full job list. This is the default behavior. No additional configuration needed.

Can an Adjuster also capture photos? Adjusters have access to the iOS app but the Capture module is oriented toward Field Inspectors. An Adjuster who also does field work is better served by being set as an Admin, which has both office and field capabilities.

Can two people share a login? No. Each team member must have their own account. Shared logins violate the terms of service and break the attribution trail in the activity feed — you won't know who made which change.

What happens if I need to give an external contractor temporary access? Invite them with the Contractor role and deactivate their account when the engagement ends. Deactivation is immediate and can be done in seconds.
