Adding Notes to a Job

Notes are your team's real-time communication layer inside a job. Here's how to add them, attach files, mention teammates, and keep your inspection documented from the inside out.

Adding Notes to a Job

Notes are the internal communication layer of every job in Estimatics. Your entire team sees them in real time — field inspectors, adjusters, project managers, and anyone else with access to the job. Notes are not included in client-facing reports unless you explicitly add them to the report body.


Opening the Notes panel

On the web dashboard: Click the Notes icon in the job header toolbar (speech bubble icon), or press N on your keyboard from anywhere in the job workspace. The Notes panel slides open on the right side of the screen.

On iOS: Tap the Notes tab at the bottom of the job screen.

The panel shows all notes for this job in chronological order, newest at the bottom.


Adding a note

  1. Click or tap the note input field at the bottom of the Notes panel
  2. Type your note
  3. Press Enter (web) or tap Post (iOS) to submit

Notes are saved and visible to the team immediately — there's no draft state. Once you post, it's live.


Attaching files to a note

You can attach files to any note — useful for sharing reference documents, permits, prior inspection reports, or carrier correspondence that's relevant to the job.

On the web:

  1. Click the paperclip icon in the note input bar
  2. Select a file from your computer (max 25MB per file)
  3. The file uploads and attaches to the note automatically

On iOS:

  1. Tap the attachment icon in the note input bar
  2. Choose from Files, Photos, or Camera
  3. The attachment uploads with your note

Supported file types: PDF, JPG, PNG, DOCX, XLSX, and most common document formats.


Mentioning a team member

Type @ followed by a team member's name to mention them in a note. The mentioned person receives an in-app notification (and an email notification if they have email alerts enabled).

Use mentions to:

  • Alert a specific person that their action is needed
  • Direct a question to the right team member
  • Flag something for a manager's review

Note types and best practices

Notes in Estimatics are unstructured — a text field with optional attachments. Here's how most teams organize them by convention:

Editing and deleting notes

Edit: Click the ··· menu on any note you authored and select Edit. You can edit the text but not the attachments. Edited notes show an "edited" indicator with the timestamp.

Delete: Click ···Delete. Deleted notes are permanently removed and cannot be recovered. Admins can delete any note; regular users can only delete their own.


Viewing notes on iOS

The iOS Notes tab shows the same notes as the web dashboard, updated in real time. If you're in the field and a manager adds a note asking you to re-shoot a specific area, you'll see it immediately without refreshing.


Frequently asked questions

Are notes visible to my clients? No. Notes are internal to your organization. They never appear in shared report links or client-facing deliverables unless you manually copy note text into the report body.

Can I search notes? Yes. Click the search icon at the top of the Notes panel and type a keyword. Matching notes are highlighted.

Is there a character limit for notes? Individual notes are limited to 5,000 characters. For longer documentation, attach a document file instead.

Can I pin an important note to the top? Not currently. Pinning and note categories are on the roadmap.

Do notes appear in the activity feed? Yes. Every new note appears in the job's activity feed with the author and timestamp.
