Reviewing and Managing Captured Media

The Capture tab on the web dashboard is your inspection media library. Every photo and video your team captures in the field appears here, organized by area and filterable by type, date, and sync status. This is where you review coverage, spot gaps, and manage the media before it flows into AI analysis and reporting.

Navigating the Capture tab

Open any job and click the Capture tab. You'll see:

  • Area filter bar — click any area name to filter the gallery to that area
  • Media grid — all photos and videos for the selected area (or all areas)
  • View toggle — switch between grid view (overview) and list view (detail with metadata)
  • Sort controls — sort by capture time, upload time, or area
  • Status filter — filter by All, Synced, Uploading, Flagged, or Unassigned

Viewing a photo or video

Click any thumbnail to open the full-size view. From here you can:

  • Pan and zoom the photo
  • See the capture metadata: date, time, GPS coordinates, device, and area tag
  • Add markup — annotate with arrows, shapes, and text
  • Add to a note — reference this specific photo in a job note
  • Download — save the original file to your computer
  • Delete — remove from the job (cannot be undone)
  • Change area — reassign to a different room or area

Use the ← → arrows to move between photos without closing the viewer.

Filtering your media library

Use the area filter bar to focus on one section of the inspection at a time. This is the fastest way to verify coverage.

Workflow for coverage review:

  1. Select Roof — Main in the area filter
  2. Verify you have establishing shots, mid-range shots, and close-ups
  3. Repeat for each area
  4. Switch to Unassigned and tag any remaining untagged media
  5. Switch to Flagged and review or retake any low-quality photos

Bulk actions

Select multiple items to perform actions on a batch:

  1. Click Select in the toolbar
  2. Check each item you want to include (or click Select All for the current filter)
  3. Choose an action:
    • Change Area — reassign all selected items to a new area
    • Download — download all selected files as a ZIP
    • Delete — remove all selected items (requires confirmation)

Uploading media from the web

You can add photos and videos directly from the web dashboard without using the iOS app — useful when you have additional photos from a camera, drone, or a colleague's device.

  1. In the Capture tab, click + Add Media
  2. Select Upload Files
  3. Drag and drop, or browse to select files
  4. Assign an area
  5. Click Upload

Supported formats: JPG, PNG, HEIC, MP4, MOV. Maximum per file: 4GB.

Note: Photos uploaded via the web don't automatically carry GPS metadata from the Estimatics iOS app. For legally defensible evidence, iOS captures are preferred — they embed tamper-proof GPS and timestamp metadata at capture time.

Downloading your media

To download all media for a job:

  1. In the Capture tab, click Select → Select All
  2. Click Download
  3. A ZIP file is prepared and downloaded to your computer

To download a specific area only:

  1. Filter by the area
  2. Select All
  3. Download

Frequently asked questions

Can I reorder photos within an area? Not currently — photos are displayed in capture order (oldest first). Custom reordering is on the roadmap.

Is there a limit to how many photos a job can hold? No. All plans support unlimited media per job.

Can I see who captured each photo? Yes. In list view, each item shows the team member who captured it and the device used.

Can I recover a deleted photo? No. Deleted photos are permanently removed immediately. There is no trash or recovery. Download anything important before deleting.

Can I share individual photos with clients directly from here? Not directly from the gallery. Use the Reports module to share a formal evidence package, or download photos and share them manually. Direct photo sharing links are on the roadmap.
